Technology plays a huge part in how productive a company is every single day, but even though these tools help a company perform tasks does not mean they are performing the tasks to their fullest potential. The software, hardware, and other gadgets may need some fine tuning or the employees may need more tips on how to carry out effective work. Due to positive changes, completing tasks with an effective time management strategy is possible. Tasks become quicker because technology is now more efficient.
Hardware and Software: Both Need Updates
If the equipment in an office is slow and is never checked up on, this is one example of what to change right away. Install current versions of software on the equipment to promote an increase in worker productivity. If the computers are too slow, perhaps it’s time for an upgrade. If cost is a concern don’t upgrade everything at once, but gradually upgrade the systems that need it the most.
It’s a waste of time to do important tasks on slow-moving machines. Online faxing is one example of utilizing technology as opposed to using an old fax machine that never seems to work. If clients and employees have constant issues sending one another e-mails or their fax machine is out of date, make pertinent changes and updates by fixing the problem or completing faxing online.

Relying either on an employee hired to fix hardware and software problems or having a company visit your office is essential. Instead of trying to save on costs by finding a company or person that may not do quality work, find someone who will fix the technology issue efficiently and correctly. Quality of service is important when fixing technology because the hardware is what helps employees do the everyday services that make a business function. So either have a go-to person within the office or, for quick questions, asking a technician online is another option.

Part of being efficient in an office is setting rules for employees that use e-mail. Sending personal e-mails should never take place. Sending professional e-mails is also very important because an employee never knows where the e-mail will go after the recipient receives it. No one enjoys being embarrassed if thoughts or unprofessional suggestions are within the body of the e-mail.
Part of also utilizing e-mail is having all employees respond to e-mails within 24 hours, just like a phone call. If anyone other than the employee needs access to the e-mail, they also need to be aware that this is not considered abnormal, but the company can get access to the e-mail any time they need to. By making constant improvements on technology, a company becomes an effective and long-standing business.
